Direct Hire Bilingual Spanish Receptionist needed!

Schedule: Monday to Friday, 8 AM to 5 PM

Responsibilities
As a key representative of the company, the Office Coordinator/Receptionist will ensure smooth daily operations, foster professional communication, and maintain a welcoming environment. Responsibilities include:

  • Answer and direct incoming calls, providing top-tier administrative support.
  • Serve as the front-facing representative, greeting and directing visitors and notifying appropriate personnel of arrivals.
  • Maintain security protocols and uphold telecommunications systems for seamless communication.
  • Respond to visitor inquiries, offering information or referrals when needed.
  • Keep reception and public office areas safe, clean, organized, and aesthetically appealing.
  • Manage office supplies, including stationery, kitchen essentials, conference room items, and restroom toiletries, regularly restocking and ordering necessary items.
  • Coordinate meal orders for meetings or company events and oversee communal office equipment such as copiers, fax machines, and postage machines.
  • Handle incoming/outgoing mail and packages, including FedEx and UPS shipments, with the ability to lift up to 20 lbs as needed.
  • Coordinate logistics for company events such as holiday gatherings and summer picnics using internal or external venues.
  • Assist project managers and employees with administrative requests such as document copying, shipping files, and reservations.
  • Arrange travel accommodations, including flights, car rentals, and hotel bookings for employees.
  • Support accounting teams through timesheet collection, expense reports, file organization, and accounts payable tasks.
  • Track vehicle registrations and maintain auto-related records for the company.
  • Collaborate across departments and handle solicitors with professionalism while maintaining flexibility to address dynamic office needs.
  • Ensure consistent attendance, reliability, and dedication to tasks while striving for long-term growth within the company.

Requirements & Qualifications

  • Positive and respectful attitude that embodies teamwork and professionalism.
  • Skilled verbal communicator with excellent telephone etiquette.
  • Ability to manage pressure, multitask, and maintain strong organizational habits.
  • Detail-oriented and capable of prioritizing tasks while meeting tight deadlines.
  • Proficient in Microsoft Office Suite, including Word, Excel, Teams, SharePoint, and OneDrive.

  • Strong time management skills with the ability to think creatively and handle out-of-the-box situations.
